Fillr Privacy Policy

Last updated: 2025

This Privacy Policy explains how Fillr ("we," "us," or "our") collects, uses, and shares information when you use our web application, APIs, and related services (the "Service").

1. Information we collect

We collect information in three main categories:

  • Account information. When you sign up, we collect your name, business name, email address, and password (stored as a hash).
  • Business and usage information. This includes details about your gaps (dates, times, zips), campaigns, message templates, and how you use the Service.
  • Customer information. When you upload or enter Customers, we store their names, contact details (such as email, phone, and zip codes), tags, and basic history (for example, when they last received a service, if you provide that).

We may also collect technical information such as IP address, browser type, device information, and basic usage logs to operate and secure the Service.

2. How we use information

We use the information we collect to:

  • Provide, maintain, and improve the Service;
  • Send offers and notifications to your Customers on your behalf;
  • Communicate with you about your account, security, and product updates;
  • Monitor usage, troubleshoot issues, and protect against fraud or abuse;
  • Develop new features and analytics, including models that help route and prioritize offers.

We may use de-identified or aggregated information derived from your data and your Customers' data to analyze performance, benchmark across users, and improve Fillr. We do not attempt to re-identify individuals from de-identified data.

3. Your Customers' data

When you upload or enter Customer information into Fillr, we process that information as a service provider to you. You are responsible for having the appropriate rights and consents to provide that data and to send communications to your Customers.

We use your Customers' data primarily to send messages that you configure or authorize (for example, last-minute gap offers), and to support the operation of the Service.

We do not use your Customers' contact details to market our own products directly to them, except as permitted by you or as necessary to deliver or improve the Service (for example, limited follow-up about a Fillr-powered experience if clearly related and appropriately identified).

4. Email and SMS communications

We may send you emails about your account, security, usage, and important updates to the Service. We may also send you product updates or other marketing communications; you can opt out of marketing emails by using the unsubscribe link in those messages.

When you use Fillr to message your Customers, those communications may be sent by email or SMS using third-party providers. The content and recipients are controlled by you. You are responsible for complying with applicable laws (for example, anti-spam and telemarketing rules) in your jurisdiction and in your Customers' jurisdictions.

5. How we share information

We do not sell your personal information or your Customers' personal information to third parties in the ordinary course of business.

We may share information with:

  • Service providers who help us operate the Service (for example, hosting, email, SMS, analytics, and error monitoring). These providers are bound by appropriate confidentiality and data protection terms.
  • Legal and safety purposes when we believe disclosure is reasonably necessary to comply with law, regulation, or legal process, or to protect the rights and safety of our users, Customers, or the public.
  • Business transfers and transactions, such as a merger, acquisition, financing, or sale of all or a portion of our assets. In those cases, your information (and your Customers' information) may be transferred as part of the transaction and will remain subject to this Policy or a successor policy that provides at least comparable protection.

6. Data retention

We retain your account information and related data for as long as your account is active and for a reasonable period afterward, in order to maintain records, comply with legal obligations, resolve disputes, and enforce our agreements.

We may retain de-identified or aggregated information for longer periods for analytics and product improvement purposes.

7. Security

We use reasonable technical and organizational measures to protect information within the Service. However, no system can be guaranteed to be 100% secure, and we cannot promise or warrant the security of any information you transmit or store with us.

8. Your choices and rights

You can access and update certain account information by logging into your Fillr account. If you would like to request deletion of your account, you can contact us at fillr@nexstrideconsulting.com.

If your Customers have questions or requests about their personal data, they should contact you directly. We may assist you in responding to such requests where required and appropriate.

9. Children

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will take reasonable steps to delete it.

10. Changes to this Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the Service. Your continued use of the Service after the effective date of any changes means you accept the updated Policy.

11. Contact

If you have questions about this Privacy Policy, you can contact us at fillr@nexstrideconsulting.com.
